Committee Descriptions


 

Audit Committee

Purpose/Function of the Audit Committee

 In concert with those duties defined in the bylaws, The Audit Committee shall be responsible for:

  • The Audit Committee reviews AIAT financial records to confirm that funds have been properly receipted and expended.

  • Once each year, (or more often if necessary and requested by the Executive Committee), the committee meets to review AIAT financial records as maintained by the Executive Director.  The committee will send an agenda to the Executive Director at least 14 days prior to the meeting, so the Executive Director can have all necessary documents available for review.  The committee will meet at the Executive Directors office.

  • The committee examines receipts, checks, bank statements, etc to determine current balances and to assess the overall state of AIAT financial records.

  • The chair prepares a written report of the findings and presents an oral report of the findings to the board of directors.  At conclusion of the report, a motion is needed to accept the committee's findings.

  • The Committee Chair will submit a written report by the President’s request for inclusion in the Executive Committee meeting packet.

  • Carry out the tasks assigned to them by the board of directors.

Bylaws Committee

 Purpose/Function of the Bylaws Committee

 In concert with those duties defined in the bylaws, The Bylaws Committee shall be responsible for:

  • The Bylaws Committee shall consider the advisability of bylaw amendments and amendments to the Articles of Incorporation, hear or review all proposed amendments and make recommendations to the board of directors of amendments to the bylaws and/or the Articles of Incorporation.

  • Carry out the tasks assigned to them by the board of directors.

Convention Committee

 

 Purpose/Function of the Convention Committee

 

 In concert with those duties defined in the bylaws, The Convention Committee shall be responsible for:

 

·          Suggest speakers

·          Solicit sponsorships

·          Work closely with the Executive Director to select the convention theme, continuing education classes and hours offered, and finalize a schedule.

·          Fill in the volunteer schedule

·          Carry out the tasks assigned to them by the board of directors.

Company Advisory Committee

 Purpose/Function of the Committee

In concert with those duties defined in the bylaws, the Company Advisory Committee shall:

 ·          Act as liaison between the Insurers and the Board of Directors of AIAT in exchanging information, soliciting Company and/or Membership opinions of matters pending before the Board, and addressing areas of concern of either entity.

Education Committee

 Purpose/Function of the Committee

 In concert with those duties defined in the bylaws, The Education Committee shall be responsible for the following:

  •  Develop educational programs that will strengthen the membership and help promote professionalism.

  • Carry out the tasks assigned to them by the board of directors.

Ethics Committee

 Purpose/Function of the Committee

  •  In concert with those duties defined in the bylaws, The Ethics Committee shall be responsible for the following:

  •   Maintain and review the ethical standards of the association.

  •  Interpret the ethical standards to the membership and the public

  •  From time to time if needed, propose revisions, deletions and additions to the ethical standards to the board of directors for its approval.

  • Carry out the tasks assigned to them by the board of directors.

Fundraising Committee

 Purpose/Function of the Committee

 In concert with those duties defined in the bylaws, The Fundraising Committee shall be responsible for the following:

  •  To work with the Executive Director in establishing a fundraising plan that incorporates a series of appropriate vehicles, such as special events, direct mail, product sales, etc.

  • To take the lead in certain types of outreach efforts, such as chairing a dinner/dance committee or hosting fundraising parties, etc.

  • To monitor fundraising efforts to be sure that ethical practices are in place, that donors are acknowledged appropriately, and that fundraising efforts are cost-effective.

  • Oversees development and implementation of the Fundraising Plan; identifies and solicits funds from external sources of support.

  • Carry out the tasks assigned to them by the board of directors.

Golf Tournament Committee

 Purpose/Function of the Committee

 In concert with those duties defined in the bylaws, The Convention Committee shall be responsible for the following:

  • Handles finding a course but Executive Director responsible for the contract. 

  • Also responsible for ordering signs, trophies, and getting hole sponsors

  • Finding volunteers to work at the course. 

  • Carry out the tasks assigned to them by the board of directors.

Legislative Committee

 Committee Reports To:

 AIAT Board of Directors when in session.  The Executive Committee when the board is not in session.

 Purpose/Function of the Committee

 In concert with those duties defined in the bylaws, The Legislative Committee shall be responsible for the following:

  •  The committee, in concert with the Executive Committee, annually develops a legislative agenda for the Board of Directors’ adoption.  This agenda is then used to monitor, evaluate and recommend to the Board positions on state and federal proposed legislation and regulations.

  • The Legislative Committee will keep the Executive Committee apprised of the status of important legislation. 

  • The Legislative Committee will appoint a liaison to work closely with the Fundraising Committee to keep them apprised of the status of important legislation.

  • The AIAT lobbyist takes direction from the Legislative Committee with approval of the Executive Committee.

  • The chair will designate one or more individuals to testify to committees of the State Legislature taking into consideration any recommendation of the AIAT lobbyist.

  • The greatest degree of activity will occur during the period of the biannual legislative session. 

  • The committee may draft proposed legislation and prepare testimony for various committees of the State Legislature, subject to the approval of the Executive Committee;

  •  The Committee, by the President’s request, will submit a written report for inclusion in the Executive Committee meeting packet.

  • The committee will submit updates and articles to the Executive Director as news develops throughout the year.

  •  Carry out the tasks assigned to them by the board of directors.

  • Members of the committee are expected to attend the committee meetings.

  • Members of the committee will report back to their respective chapter with Legislative updates.

Membership Committee

 Purpose/Function of the Committee

 In concert with those duties defined in the bylaws, The Membership Committee shall be responsible for the following:

  • Recommend new and innovative membership recruiting and benefit programs.

  • Actively develop programs for the solicitation and retention of membership.

  • Work in concert with the Executive Director to promote, market and monitor the feasibility and benefits of existing membership programs. 

  • Periodically review and make recommendations to the board for any revisions, additions, or deletions to the membership application.

  • Work closely with Chapter Presidents in recruitment.

  • Carry out the tasks assigned to them by the board of directors.

Nominating Committee

 Purpose/Function of the Committee

 In concert with those duties defined in the bylaws, The Nominating Committee shall be responsible for the following:

  • Solicit and encourage competent members to run for the Board of Directors.

  • Prepare and submit, in accordance with the AIAT's bylaws, nominations for officers and members of the Board of Directors for election that year.  The following points are usually considered in the selection of candidates:

  • All nominees must be members of the association.

  • Select each candidate with due consideration to: type of member, geographic representation, experience within the profession and association, and chapter and related involvement.

  • Nominate at least one candidate for each of the elective offices.

  • The committee shall inform all nominees of the duties of the offices for which they have been nominated and secure their consent to serve.

  • Carry out the tasks assigned to them by the board of directors.
